An activity is defined as a care visit/appointment, or activity that you can charge or claim back from your customers. For example; hours of care delivered per week, hours of Support Coordination serviced. Everything else in Careflo is unlimited, users, uploads, customers and usage.

Examples of monthly activity

A care provider delivers and charges for 40 hours of care per week (2 x 30 minute visits is an hour of care when calculating activities). In total they are delivering 160 hours per month which equals 160 activities. It is simply the total number of hours that the carers have provided in a month.

A care provider delivers and charges for 100 hours of care per week. They also are charging for 20 hours of support coordination per week. In total they are charging for 120 hours per week and 480 hours per month. Their activity level for the month is 480 activities.

This way of pricing allows a care provider to maximise using Careflo features without paying for selected modules or features they don’t use, having to track active users or customers. It gives a care provider the full functionality of Careflo without being penalised. Activity is only confirmed when they are charging for their services and is generally less than 1% of a care providers gross charge out rate.

Our minimum subscription length at the start is 3 months. Your subscription will automatically become a monthly contract.

To exit a subscription plan, providers will need to inform Partners in Care 60 days before exiting.

No, all charges we incur e.g. hosting data, system usage and processing your tasks are included in our price structure.

Our server is hosted on Amazon Web Services (AWS) and data is stored in Australia and compliant with data protection laws.

Yes, we have on-going support so that you can connect with us if there is a system-based question. We also provide up to five hours initially to help you get started. For any other support you require that helps you improve your usage of the software we have support packs and hourly rates to accommodate you.

It is easy, we can set up auto debits from your business account or you can pay directly to our nominated account.

GST is calculated separately from the advertised fees. It will be included in your payment notification.

No upfront costs, no setup fees once you’ve signed a contract you will be given access straight away.

No. However, if you would like to access NDIS, or Aged Care funded modules you will need to pay a different subscription fee. Plan Management module is sold separately.

All Partners in care customers will have the same billing period. The billing period is 4 weeks in total which aligns with the weekly finance cycles within Careflo. This allows our customers to track their usage weekly.

If you commence with us and it is prior to the billing period, your subscription fee will be pro rata for that month. 

We run a report prior to the billing period ends which confirms your activity/hours you conducted within a month.
